What we collect

Information you give us. When you book a room or session, request a consultation, or submit the Visibility Check form, you provide details such as your name, email address, phone number, business name, billing details and the website address you asked us to analyze.

Studio visit records. Everyone who enters the studio registers by scanning the QR code on the sign at the entrance with their phone (or is registered by the person who booked), which records name, phone, email, date and time of entry, and acceptance of our terms. Our door system logs when access codes are issued and used. Security cameras in studio rooms, entrances and common areas record video only, with no audio, and never in restrooms.

Session media and messages. The audio, video and photos you record at the studio, the emails and texts we exchange, and your text-message opt-in or opt-out records.

Information collected automatically. Our hosting and booking pages record standard technical data such as IP address, browser type, pages visited and the time of the visit, and may use cookies and pixels.

We do not ask for, and you should not send us, payment card numbers by email or through this website's forms. Card payments are handled by our payment processor, not stored by us.

How we use it

To schedule and deliver what you booked, process payments, send confirmations, door codes and reminders, deliver your files, answer your enquiries and improve the website and our services.

To register and verify everyone who enters the studio, protect people, equipment and property, investigate damage, theft or policy violations, and support charges and payment disputes.

The Visibility Check analyzes the public web address you enter and returns a score based on what is publicly available there. If you ask for the results by email, we use your address to send them and to follow up about KLIP services.

To send marketing messages, only if you opted in, and to meet legal, tax and accounting obligations. We do not sell your personal information.

Services we use

SimplyBook.me handles studio, photography and tour bookings and acts as our supplier under its Privacy Policy and our Data Processing Agreement. Stripe processes payments. Calendly schedules consultation calls.

GoHighLevel is our customer database and sends email and text messages, with Twilio carrying texts. Make.com moves information between these systems. RemoteLock issues door codes and logs entries. A Synology NAS and Dropbox store and deliver session files for a limited time.

This website is hosted on Cloudflare Pages. Google and Meta provide calendar, analytics, advertising and lead-form tools. Each company handles the data it receives under its own policy.

Text messages

Transactional texts, such as confirmations, door codes, reminders and file delivery, are sent to clients as part of their booking. Marketing texts are sent only to people who opt in, and consent is not a condition of purchase. Message frequency varies, and message and data rates may apply.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are not shared with any third party, except the providers that deliver our messages.

Security cameras

Security cameras operate in studio rooms, entrances and common areas for safety and asset protection. They record video only, with no audio, and there are none in restrooms. Notices are posted at the entrance, and entering the premises means you consent to this recording.

Footage is used only for security, check-in verification, incident and damage investigation and payment disputes. It is not used in marketing.

Cookies

This site sets no advertising cookies of its own. Our booking pages, embedded booking and scheduling tools, and analytics and advertising pixels from Google and Meta may set their own cookies when you use them. Your browser settings control whether you accept them, and your Google and Meta account settings control ad preferences.

How long we keep it

Security camera footage: about 30 days, longer only for an open incident or dispute. Session recordings: about 14 days after the session, so download and back them up before then. Visitor check-in and door access logs: 2 years.

Booking and client records: as long as we need them to run the business, or until you ask us to delete them, unless needed for legal or accounting reasons. Text-message consent and opt-out records: as long as carrier and legal rules require. Accounting and payment records: up to 7 years. Enquiries that do not become work are kept for a reasonable period and then deleted.

Keeping it secure

We use reasonable safeguards, including access controls and reputable providers, to protect your information. No system is completely secure. If a breach affects your personal information, we will notify you as required by Florida law.

Your choices

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email info@theklipstudio.com or call 954-541-3708 and tell us what you want done. We may keep records the law requires, or that we need for security, a pending dispute or accounting.

You can unsubscribe from marketing email at any time using the link in the message, and from texts by replying STOP.

Photography and footage

Work produced for a client belongs to that engagement and is not published by KLIP without permission. If we would like to show your project publicly, we ask first.

Imagery on this site that is not KLIP's own production is licensed stock, used under its license.

Children

This website is intended for business customers and is not directed at children under 13. We do not knowingly collect information from them online. Minors may visit the studio only with a parent or guardian, who registers on their behalf.

Changes and contact
